Privacy Policy

Preliminary summary — not yet a complete legal document. The definitive privacy policy will be published before general availability.

Document editing stays local

OfficeLabs runs as a native module inside your LibreOffice installation. Your documents, and the content you write and edit, are processed and stored on your own machine. We do not upload your document content to our servers as part of normal editing.

What our cloud backend does handle

OfficeLabs is not a purely offline product. A cloud service supports parts of the app that cannot run locally:

  • Account & authentication — email/password or Google sign-in, and a one-time code you confirm on this website to authorize the desktop app. Used to identify your account.
  • Billing — subscription and payment processing is handled through Stripe. We do not store your card details ourselves.
  • AI processing — on standard plans, AI requests from the desktop app go through the OfficeLabs backend to third-party AI routing providers, which forward them to the model providers. The text of your request and the model's answer therefore leave your machine and may be handled outside Switzerland and the EU. We make no data-residency or no-retention commitment for this traffic.

Sub-processors

The processors we use today are:

  • Stripe — Payments, subscriptions, invoices (IE / US).
  • Infomaniak Network SA — App hosting (Coolify worker) and installer object storage (CH).
  • Microsoft (Azure Database for PostgreSQL) — Primary database (to be confirmed).
  • AI routing providers — Forward AI requests from our backend to the model providers (varies (US, possibly other jurisdictions)).
  • Model providers behind the AI routing providers — Inference (varies (US, possibly other jurisdictions)).
  • Google — Sign-in with a Google account, if you choose it (to be confirmed).

This list is kept current. Additional processors will be named here before they begin processing personal data.

Who is responsible

The controller of your personal data is Creative Pandas Sàrl, Lutry, Switzerland (UID CHE-130.385.188). Contact: info@officelabs.tech.

What we keep about AI usage

For each AI request our backend records metering data only: the account, the model, token counts, the cost, the status and latency of the call, and a timestamp. We use it to apply your plan's usage rules and to bill. Our database does not store the text of your prompts or of the answers. The AI routing providers and model providers named above process that text under their own terms.

How long we keep data

  • Account data — While your account is active, and deleted within 30 days of account deletion
  • Billing records — 10 years, as required by Swiss law (CO art. 958f)
  • AI usage metering — 12 months
  • Support e-mail — 2 years after the last message
  • Server logs — 30 days

Optional secure AI membership

If you add the secure AI membership offered with our SchatziAI partnership, your AI requests are handled under that membership's own Swiss, privacy-first terms instead of the standard routing described above. It is an optional add-on, not a property of OfficeLabs in general, and it is not available yet.

Our commitment

We collect the minimum account and billing data required to run the product, we do not sell personal data, and we do not use your document content to train models. The full policy — including the retention periods above and your rights under applicable data protection law — will be published as a definitive document ahead of general availability.

Cookies and local storage

The website sets no cookies. The sign-in token for this site lives in your browser's sessionStorage and is cleared when you close the tab.

Your rights

Under applicable data protection law you can request access to, correction of, or deletion of your personal data. Until the dashboard's self-service export and deletion ship, send a request to the contact address on our Imprint page.
